Status Report Follow
This report is useful for tracking the current status of the leads/cases in your CRM portal. By default, it reports on the date of the status changes, but can be limited further by adding a filter to only show status changes for records created during the specified date range. The Status Report is used to see status changes during a date range.
Of note, this report does not match the Inbox and is best intended to be used as a daily report since the status of records is constantly changing.
Using the main navigation menu on the left-hand side of the screen, go to “Reports”.
⚠️ Only users with the Reports permission will have access to this screen.
Navigate to the “Status Report” page.
At the top of the page, you will be able to select from the different available filters to narrow down the results of the report. You can filter by case type, assignee, tags, and more.
Beneath the filters, you will see a dropdown that says “Select Status”. Use this dropdown to choose a status that you would like to run the report for. To run the report for every active status in the portal, choose the “All” option from the dropdown.
To the right of the Select Status dropdown, you will see the “From Date” and “To Date” fields; use these fields to select a date range for the report. The “Start” and “End” dropdowns can be used to further filter the report by a certain time frame. For example, let’s suppose you’d like to see all leads that went into the status “Signed E-Sign” on 7/3/23 between 1 pm and 3 pm.
Lastly, the “Limit results to only show records that were created in the selected date range” checkbox can be selected to only show records that were created during the date range that was selected for the status(es).
Additionally, you can use the “+Add Additional Status” button to run the report on as many individual statuses as you’d like.
Once you’ve finished setting up the criteria for the report, click on the “Run Report” button to generate the report.
You will then see a new button appear: The “Export/Schedule Report" button can be used to download the report in the displayed formats the pop-up provides (detailed below).
The pictured (below) export report options allow you to export the report on demand or schedule it to be delivered via email. You also have the ability to choose whether you want to export the report in Excel, PDF, or both!
- Export Now: This option allows you to generate and export the report in real-time via the Notification Center. If you would like to receive the report via email with a file attachment, you can select the "Email a copy of the report" option and enter your email address. Once the report is ready, you simply need to click the bell icon in the upper right corner of your screen to download it!
You will also receive a Notification Center email when the report is ready to download.
You can turn off the email notifications that deliver when a report is ready. Click your user initials bubble in the upper-right corner of the screen and go to User Settings > Notification Center > Uncheck the 'Email' checkbox for the "Reports" notification type.
- Daily/Weekly/Monthly/Bi-Weekly: These options give you the ability to schedule the report for automatic delivery via email! The report can be sent to any email address you input. Depending on the delivery frequency, you can choose the specific day(s) of the week, the time of the day, or even the specific day of the month that you want the report to be sent! We recommend reviewing the pop-up to see all the available options.
⚠️ Any scheduled report exports that exceed 25MB in file size will not be able to be attached to the email. Instead, a download link will be included in the email.
