How does AI transcript work?
- Feature control: Admin users have the ability to activate or deactivate the AI transcription feature, ensuring flexibility and control over its usage.
- Supported audio files: All users can select prerecorded calls or upload audio files in .mp3 format for transcription, making it easy to convert conversations into text.
- Organized file management: Transcription files are automatically saved in .txt format within a dedicated “Transcripts” folder, neatly nested inside the master "Recordings" folder for easy access and organization.
- Security and Privacy: To maintain confidentiality, sensitive data within audio files is automatically hidden during the transcription process, ensuring secure handling of information.
- Multilingual support: Transcriptions can be generated in English, French, or Spanish, catering to multilingual teams and global operations. Multilanguage support within a single transcription
- Activity tracking: Keep track of every transcription request with comprehensive activity logs, allowing users to monitor and manage their transcription actions transparently
What does the transcription include?
Summary:
- A concise summary of the full recording highlights the key topics and points discussed, allowing users to quickly understand the essence of the conversation.
Full Transcription:
- The complete recording is converted into text, providing a detailed, word-for-word transcription for reference
- Speaker diarization: When multiple speakers are detected, the transcription will include speaker diarization, segmenting the text by speaker to clearly distinguish who said what
- Speaker Recognition: If speaker names are detected during the recording, the transcription will display their names alongside the relevant segments of dialogue, ensuring clarity and accuracy in understanding the conversation flow
IMPORTANT: This feature supports only .mp3 files up to 200 MB in size.
How to?
Enabling the feature
- From the Setup menu, go to the Global Settings and Statuses
2. Accept Terms and Conditions for AI Assisting Features (this will only be required once)
3. From the AI Assist Settings section enable the AI Transcription feature
4. Manage and assign the Generate AI Transcription permission to the desired users from.
Access the User Management section from the Setup menu > Manage Users option or from the ‘set permission’ shortcut indicated in the previous image.
IMPORTANT: The user must have Edit permissions assigned first in order to get the Generate AI Transcription permissions
Generate audio transcription
- Select the desired Lead
- Go to the Lead’s Documents section
- Select the Recordings folder or any .MP3 file
4. Right click on the desired audio file and select “AI Transcript”
5. Wait for the transcription file to be generated. A notification will appear in the top‑right corner under the bell icon.
6. The transcription file will be automatically created in the Transcriptions folder and named after the original audio file
Access files
User can switch between Folder or Files view
- Folder view: allows the user to clearly see all files contained within a specific folder. This view provides an organized layout, making it easier to locate and manage documents related to a particular lead or topic.
- Files view: allows the user to see a list of all files stored in the Lead’s document section. For each call, the audio file and its corresponding transcription file will be displayed one after the other, ensuring they are grouped and ordered for easy access
Understanding How Costs Are Calculated
Our billing system uses predefined service tiers to determine the price per minute based on your total usage. This ensures that as your usage grows, you benefit from lower rates.
How it works
- Each tier covers a specific range of minutes at a fixed price per minute.
- When your usage exceeds the maximum minutes of a tier, the next tier’s rate applies to the total.
- Your total charge is calculated as:
Total cost = minute usage x price per minute

Example calculation
If you transcribe 1,500 minutes:
- Tier 3 price applies: 1500 minutes x $0.04 → $60.00
Total cost: $60.00
You can monitor your usage and associated costs by navigating to the Reports menu and selecting the Usage Report option. Once the report is generated, the details will appear in the AI Transcript Usage section.
